The Personal Assistant will provide administrative, coordination, and operational support to senior leadership in a manufacturing environment. The role involves managing schedules, documentation, communication, and follow-ups across production, purchase, stores, finance, and external stakeholders to ensure smooth workflow and decision-making.
Key Responsibilities1. Executive Support
Manage calendars, appointments, meetings, and travel arrangements.
Draft emails, letters, reports, and presentations on behalf of senior management.
Organize internal and external meetings, preparing agendas and minutes.
2. Operational Coordination
Coordinate with various departments--Production, QC, Purchase, Stores, HR, and Accounts.
Follow up on pending tasks, project status, production reports, and management directives.
Support in monitoring daily plant activities, output, and operational performance.
3. Documentation & Reporting
Maintain files, confidential documents, and MIS reports.
Assist in preparing monthly reports, dashboards, and performance summaries.
Compile data related to production schedules, inventory, and vendor follow-ups when required.
4. Communication Management
Serve as a liaison between management and internal/external stakeholders.
Handle calls, messages, vendor interactions, and customer communications professionally.
Track issues and ensure timely escalation/resolution.
5. Administrative Tasks
Manage office supplies, courier, correspondence, and coordination with admin teams.
Organize events, meetings, training sessions, and plant visits.
Maintain records for compliance, audits, and documentation requirements.
6. Confidentiality & Support
Handle sensitive information with high confidentiality and integrity.
Provide ad hoc support based on urgent tasks and priorities.
Required Skills & Qualifications
Graduate in any field (MBA/Administration background preferred).
1-4 years of experience as a PA/Executive Assistant--preferably in manufacturing or industrial setups.
Strong knowledge of MS Office (Excel, Word, PowerPoint).
Excellent communication (English & local language), interpersonal, and coordination skills.
Ability to multitask, prioritize, and work in a fast-paced environment.
