Personal Assistant :-
1. Travel Arrangements
i Ticket Booking: Research, book, and manage flight, train, or other transportation tickets, considering preferred airlines/carriers, loyalty programs, and cost-effectiveness. This includes managing changes, cancellations, and re-bookings.
ii Hotel Reservations: Research and book suitable accommodation based on MD's preferences, budget, location, and itinerary. Manage check-in/check-out details, special requests, and cancellations.
iii Visa & Immigration: Research and facilitate visa applications and other necessary travel documents for international trips, ensuring all requirements are met well in advance.
iv Itinerary Preparation: Create detailed travel itineraries, including all booking confirmations, contact numbers, addresses, and local information.
v Emergency Support: Be available to assist with travel-related emergencies or last-minute changes while the MD is traveling.
vi Expense Tracking: Maintain detailed records of all travel and related expenses (tickets, hotels, meals, local transport) for reconciliation and reimbursement purposes.
vii Reimbursement Processing: Prepare and submit expense reports for the MD's approval and reimbursement, adhering to company policies.
2. Online Cash Transactions
i Transaction Execution: Process online payments, transfers, and other financial transactions as instructed by the MD. This could include bill payments, vendor payments, expense reimbursements, and personal transfers.
ii Record Keeping: Maintain accurate and detailed records of all online transactions, including dates, amounts, recipients, purposes, and transaction IDs. This often involves using spreadsheets or dedicated financial software.
iii Security & Confidentiality: Strictly adhere to all security protocols for online banking and financial data. Maintain absolute confidentiality regarding the MD's financial information.
iv Reporting: Provide regular summaries or reports of online financial activities to the MD as required.
v Fraud Monitoring (Awareness): Be vigilant for any unusual or suspicious transaction activity and report it immediately to the MD.
3.Meeting Schedule Management & Travel Logistics
i Calendar Management: Proactively manage the MD's daily, weekly, and monthly schedule, including internal and external meetings, appointments, and travel arrangements.
ii Meeting Coordination: Schedule meetings, send invitations, manage RSVPs, and coordinate logistics such as room bookings, audio-visual equipment, and catering.
iii Preparation & Reminders: Prepare meeting agendas, gather necessary documents, and provide timely reminders to the MD about upcoming meetings and their requirements.
iv Prioritization: Assist the MD in prioritizing meetings and commitments, identifying potential conflicts, and offering solutions.
v Follow-up: Track action items from meetings and ensure timely follow-up on tasks assigned to the MD.
