This is a full-time Personal Assistant role located on-site in Surat. The Personal Assistant will be responsible for providing administrative assistance, managing expense reports, offering executive support, and maintaining effective communication within the organization. The ideal candidate will be a self-starter with exceptional communication skills, the ability to handle sensitive information with discretion, and a strong ability to manage multiple tasks efficiently.
1. Calendar & Schedule Management
Manage daily meetings, appointments, and business engagements for the Director.
Coordinate with internal teams and external stakeholders to schedule meetings and reviews.
Prioritize calendar requests and adjust schedules dynamically.
2. Internal Coordination and Follow-Ups
Track key tasks and deliverables from sales, production, and accounts teams.
Maintain follow-up systems for payment recovery, production deadlines, client approvals, etc.
Prepare brief daily and weekly updates on pending issues and progress.
3. Vendor and Client Communication
Act as a bridge between the Director and major clients, vendors, and service providers.
Draft and manage professional communication, proposals, and meeting notes.
Assist in onboarding new vendors and partners when required.
4. Travel and Event Management
Manage domestic travel for market visits, client meetings, or trade exhibitions.
Plan travel itineraries, bookings, and meeting schedules.
Organize business events, product launches, or showroom appointments.
5. Administrative Support
Prepare reports, presentations, quotations, contracts, and summaries.
Maintain organized digital and physical records for key business documents.
Manage expense statements and reimbursements.
6. Project and Launch Support
Assist in the coordination of special projects like catalog launches, collection planning, or marketing campaigns.
Monitor progress and timelines across departments involved.
Conduct research on trends, pricing, competitors, and market data when needed.
7. MIS and Reporting
Collect and summarize daily, weekly, and monthly reports from departments.
Track important KPIs like outstanding payments, stock readiness, and order fulfillment.
Maintain dashboards and reporting sheets for easy decision-making.
8. Confidentiality and Professionalism
Handle sensitive information (pricing, negotiations, disputes, salaries) with utmost discretion.
Maintain professionalism in high-pressure situations and manage conflict tactfully.
