Personal Assistant
to support the Director in day-to-day operations, client relations, and administrative management.
Position Overview:
The
Personal Assistant
will provide comprehensive administrative and operational support to the Director. This role requires excellent organizational skills, discretion, professionalism, and the ability to manage multiple tasks in a fast-paced business environment. Prior experience in the jewellery, luxury goods, or fashion industry will be an advantage.
Key Responsibilities:Administrative Support:
Manage the Director's calendar, appointments, travel arrangements, and daily schedules.
Prepare and organize business documents, presentations, quotations, and reports.
Handle correspondence, calls, and emails professionally and promptly.
Maintain accurate records of inventories, sales, and client information.
Operational Assistance:
Coordinate with suppliers, artisans, and retail partners regarding orders, deliveries, and stock updates.
Support in jewellery inventory management, including tracking, labeling, and documentation.
Assist in overseeing wholesale and retail operations, including client orders and dispatch.
Help organize trade shows, exhibitions, or client meetings.
Client Relations:
Act as the first point of contact for high-profile and wholesale clients.
Support the Director in preparing client proposals, catalogues, and pricing information.
Maintain confidentiality and professionalism in all client interactions.
Finance & Reporting:
Assist in basic bookkeeping, invoicing, and payment tracking in coordination with the accounts team.
Prepare expense reports and assist with budget tracking.
Marketing & Sales Support (as needed):
Coordinate updates for social media, catalogues, and marketing materials.
Assist in managing photoshoots, new collection launches, or showroom displays.
Skills & Qualifications:
Bachelor's degree in Business Administration, Management, or related field (preferred).
Minimum 2-4 years of experience as a Personal Assistant, Executive Assistant, or in jewellery/luxury retail.
Strong organizational and multitasking abilities with excellent attention to detail.
Proficient in MS Office (Excel, Word, PowerPoint) and familiarity with jewellery inventory software (preferred).
Excellent communication and interpersonal skills.
High level of discretion, integrity, and professionalism.
