Manage the Director's calendar, meetings, appointments, and travel schedules
Screen calls, emails, and correspondence; prioritize and respond where appropriate
Draft professional emails, letters, presentations, and internal communications
Maintain structured filing of confidential documents, agreements, and reports
Meeting, MIS & Follow-ups
Prepare agendas, presentations, and briefing notes for management, review, and customer meetings
Record minutes of meetings (MoM) and track action points across departments
Coordinate and follow up with Production, Quality Assurance, Regulatory, Sales, HR, and Finance teams
Prepare MIS reports, dashboards, and status updates for the Director
Coordination with Manufacturing & Quality Teams
Support coordination related to plant operations, audits, and reviews
Assist in organising management review meetings (ISO 13485) and compliance-related discussions
Track key operational, quality, and regulatory deadlines as instructed by the Director
Travel, Visitors & External Coordination
Arrange travel itineraries for the Director
Coordinate visits of auditors, customers, suppliers, and key stakeholders
Ensure professional handling of visitors at the Director's office
Confidentiality & Professional Conduct
Handle sensitive business, regulatory, and financial information with strict confidentiality
Maintain high standards of professionalism, ethics, and discretion
Required Skills & Competencies
Excellent written and verbal communication skills
Strong coordination, follow-up, and documentation abilities
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
Ability to work independently and manage multiple priorities
Basic understanding of manufacturing, quality systems, or regulated industries preferred
Qualifications & Experience
Graduate in Business Administration, Commerce, or related field
3-7 years of experience as Executive Assistant / Personal Assistant to Director, MD, or Senior Management
Experience in manufacturing, pharma, or medical devices industry will be an advantage
