What's the role
The role of the VP requires frequent travel to locations overseas and collaboration with all lines of business within Shell. The Personal Assistant must be confident and proactive in managing the many stakeholders and management activities of the VP. The successful candidate must be comfortable working across organizational boundaries, time zones, and cultures. Often unsupervised, the individual must act on their own initiative and be able to route and escalate issues to the right part of the organisation and monitor progress of issues and actions on behalf of the VP.
What you'll be doing
The purpose of this role is to provide full executive support to the VP across all business activities and support the VP with day to day operations, leadership team coordination, site level coordination (Chennai) and longer-term business planning and coordination activities.
Accountabilities include:

  • Provide effective, efficient, and pro-active administrative support to the VP, dealing with matters of a highly confidential nature.
  • Develop and maintain a sound understanding of business activities and objectives to be able to provide required information.
  • Develop and maintain connections to the SEAM and LOB Leadership Teams and their assistants--arranging dates and logistics for leadership team meetings, monthly meetings, global webcasts, social events, etc.
  • Manage and maintain complex diary coordination for the VP through planning/coordinating and arranging internal and external meetings, considering purpose, importance, impact and various complex and comprehensive boundaries and interfaces.
  • Take full responsibility for continuation of a wide range of activities during the absence of the VP, by efficiently managing the flow of work for the VP and by delegating as and when appropriate.
  • Scan and review email and take appropriate actions on behalf of the VP. Take phone calls and follow up on general inquiries.
  • Arrange timely, detailed and accurate logistics for forthcoming travels including proactive and timely arrangements in a cost/business efficient manner.
  • Liaise with a wide variety of internal and external stakeholders.
  • Coordinate and ensure receipt of relevant briefing papers for forthcoming meetings/travel.
  • Manage and maintain a record of expense claims.
  • Facilitate timeline payment of all invoices received.
  • Send out approved communications on behalf of the VP, and participate as part of the comms working group
  • Coordinate a high volume of global visitors to Shell Centre Chennai - end to end logistics arrangements (Airport transfers, preparing LOI for visa process, hotel reservations, lunch/dinner booking, meetings, etc)
  • Vendor Management for external events- negotiation of venue, banquet hall, gifting sample selection, budgeting, transport, etc for outdoor workshops & away days.

  • The ability to work under pressure and coping with last minute changes is also essential.
  • Fluency in English is required.
  • Substantial experience as an Executive/Personal Assistant.
  • Able to multi-task and manage high workload to tight timelines.
  • Ability to manage restricted/sensitive information to be treated with a high degree of confidentiality.
  • Professional, flexible, and pro-active attitude.
  • A high level of interpersonal skills and team working.
  • Ability to communicate effectively with all levels, including senior management.
  • PC literacy: Experienced in MS office applications and ability to quickly gain competence in other IT software.
  • Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence, and events.
  • Must be comfortable working across organizational boundaries, time zones, and cultures.
