Position Summary:
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and secretarial support to our Managing Director. The ideal candidate will be the MD's primary point of contact, ensuring seamless operations and efficient management of their professional responsibilities. This role requires exceptional communication skills, a professional demeanor, and the ability to manage multiple priorities effectively within a dynamic scientific environment.
Key Responsibilities:
Executive Support: Provide high-level administrative and secretarial support to the Managing Director, anticipating needs and proactively addressing them. Calendar Management: Efficiently manage and maintain the MD's complex calendar, scheduling appointments, meetings, and conferences, and ensuring timely reminders. Communication Management: Screen and prioritize incoming calls, emails, and correspondence, drafting responses or forwarding as appropriate with discretion. Meeting Coordination: Organize and coordinate meetings (internal and external), including preparing agendas, taking minutes, distributing materials, and ensuring follow-up actions are tracked. Travel Arrangements: (Note: As per your requirement, state clearly) This role does not involve out-of-station official travel. Any local travel requirements will be minimal and pre-arranged. Document Management: Prepare, format, and review presentations, reports, letters, and other confidential documents with accuracy and attention to detail. Information Management: Maintain an organized filing system (both digital and physical) for all confidential documents and correspondence. Office Liaison: Act as a primary liaison between the MD and internal departments, external stakeholders, and clients. Expense Management: Assist with tracking and processing the MD's business-related expenses. Ad-hoc Support: Undertake various ad-hoc administrative tasks and special projects as required to support the MD's objectives.
Qualifications:
Education: Bachelor's degree (Graduate in any discipline) is mandatory. Experience: Minimum of 3 years of proven experience as a Personal Assistant, Executive Assistant, or a similar senior administrative role, preferably within a corporate or scientific setting.
Personality & Appearance:
Well-groomed: Presents a polished and professional appearance consistently. Well-developed personality: Possesses excellent interpersonal skills, confidence, discretion, and a positive, approachable demeanor.
Skills:
Exceptional organizational and time management skills with the ability to prioritize effectively. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Outstanding written and verbal communication skills in English and Hindi. High level of discretion and ability to handle confidential information with utmost integrity. Proactive, resourceful, and able to work independently with minimal supervision. Strong problem-solving abilities and attention to detail.
