Key Responsibilities (Expanded)
Executive & Calendar Management
Manage daily calendar, calls, internal reviews, and meeting logistics for the EDs and Founder
Track follow-ups, prep meeting agendas, and send daily briefing summaries
Coordinate travel, event invites, guest meetings, and block time for high-priority execution items
Take notes during team or leadership meetings and circulate clear action items
HR & Hiring Coordination
Coordinate with recruiters, platforms, and internal vertical heads for hiring pipeline
Schedule interviews, manage communication with candidates, and maintain interview tracker
Collect candidate documents, manage trial periods, and record trial feedback from managers
Prepare and follow through on offer rollouts, onboarding checklists, and access provisioning
Maintain updated employee master file, org chart, and team directories
Documentation, SOPs & Tracker Management
Maintain and update all internal documentation: contracts, receipts, review trackers, ID logs, asset distribution sheets
Own and update core trackers: hiring funnel, trial performance, onboarding, probation completions, exit checklists
Assist in preparing internal decks for hiring reviews, monthly performance snapshots, and OKR audits
Create templates for repetitive internal ops (e.g., hiring SOP, onboarding process, meeting checklist)
Admin & Office Coordination
Oversee daily office needs: stationery, printer, biometric, internet issues, pantry, and office access
Coordinate with site admins for asset movement, housekeeping, courier dispatch, and vendor visits
Maintain logs of incoming/outgoing items, visitor registers, and meeting room bookings
Assist ED Ops in basic procurement (quotes, comparisons, approvals) and vendor coordination
Requirements
2-4 years experience in EA, Admin, or HR coordination roles
Proficiency in
Google Workspace + MS Office (Excel, Word, PPT)
Excellent English (written + spoken)
Strong follow-up, calendar discipline, and documentation hygiene
Comfortable handling confidential leadership information
Strong coordination skills across verticals
