Officer will be responsible for the accurate and timely processing of end-to-end payroll while ensuring strict adherence to all statutory compliances, including Tax Deducted at Source (TDS), Employees' Provident Fund (EPF), and other relevant labor laws. This role requires a high degree of accuracy, attention to detail, and a thorough understanding of Indian payroll and tax regulations.
Key Responsibilities
1. Payroll Processing
Manage the complete monthly payroll cycle for all employees, including calculation of salaries, allowances, deductions, and reimbursements.
Accurately input and verify payroll data, including new hires, terminations, transfers, and promotions.
Process full and final settlements for exiting employees, ensuring all dues and statutory obligations are met.
Generate and distribute monthly pay slips and resolve employee queries related to payroll calculations and deductions.
Collaborate with team members ensure updates of employee records, including attendance, leave, and other relevant information
Prepare and process monthly payroll reports for management and accounting purposes.
2. TDS Compliance
Calculate and deduct TDS from employee salaries based on the latest income tax regulations.
Collect and verify employee investment declarations and tax-saving proof to accurately compute TDS.
Generate and file quarterly TDS returns (Form 24Q) within the specified deadlines.
Ensure timely deposit of deducted tax to the government account.
Issue annual Form 16 to all employees.
Handle employee queries regarding TDS, investments, and tax calculations.
3. EPF Compliance
Manage end-to-end EPF contributions, including calculation for both employees and the employer.
Ensure timely and accurate filing of monthly EPF returns through the ECR (Electronic Challan-cum-Return) portal.
Oversee the generation and deposit of EPF challans.
Handle EPF withdrawal claims and transfers for employees as required.
Liaise with EPFO authorities and resolve any compliance-related issues.
4. Other Statutory Compliance
Ensure compliance with other statutory deductions like Employees' State Insurance (ESI), Labor Welfare Fund (LWF), and Professional Tax (PT).
Stay up-to-date with changes in labor laws, tax regulations, and statutory compliance requirements and implement necessary changes.
Facilitate internal and external audits by providing necessary records and documentation.
Maintain accurate records and files of all payroll and compliance-related activities.
Qualifications and Skills
Bachelor's degree in Commerce, Accounting, Finance, or a related field.
Proven experience of 3+ years in payroll processing, with specific hands-on experience in TDS and EPF compliance.
In-depth knowledge of Indian payroll laws, TDS provisions (Income Tax Act), and the EPF Act.
Proficiency in payroll software (e.g., Keka, Zoho Payroll, or similar) and MS Office, especially Excel.
Excellent numerical and analytical skills with a strong attention to detail and accuracy.
Ability to work under pressure and meet strict deadlines.
Strong communication and interpersonal skills to effectively handle employee inquiries.
