Role Overview
The Payroll Specialist will manage end-to-end payroll operations for APAC, ensuring accuracy, timeliness, and compliance with all statutory and company requirements. This role partners closely with regional payroll teams, HR, Finance, and external vendors to deliver an exceptional employee payroll experience.
Given the regional & global nature of this role, - Good communication in basic English verbally, with good written English proficiency to support regional payroll collaboration and documentation is needed.
Key Responsibilities
Payroll OperationsManage the end-to-end payroll process, ensuring high accuracy and adherence to payroll calendars and deadlines.
Process payroll using Workday and the appointed payroll vendors, ensuring monthly payroll payments are executed accurately and on time.
Process off-cycle and exception payments as required.
Verify and reconcile payroll inputs including time and attendance, bonuses, commissions, allowances, deductions, and exception payments.
Ensure accurate net pay funding requirements and timely payroll disbursements.
Proactive approach
Maintain the highest level of confidentiality when handling sensitive employee information, including personal data, banking details, and compensation records.
Statutory Compliance & ControlsAdminister all statutory payments, including withholding tax, resident tax, social insurance, labour insurance, and other mandatory government remittances.
Execute monthly statutory remittances in compliance with payroll and labour regulations.
Stay updated on changes to payroll, tax, and labour laws assist in implementing process or system updates as required.
Escalate compliance risks and over/under payment issues to the Regional Payroll Manager as and when necessary.
Vendor & Stakeholder ManagementManage and oversee payroll vendor, including review of all report deliverables and resolution of discrepancies.
Collaborate closely with HR / Finance teams / HR Central / Benefits to ensure accurate employee master data maintenance in Workday.
Partner with regional payroll teams to align processes and share best practices.
Employee SupportServe as a point of contact for employee payroll inquiries, including pay, deductions, time & attendance, and leave-related questions, delivering professional and timely resolutions.
Provide clear guidance to employees on payroll matters, ensuring a high level of service and confidentiality.
Proactive approach in resolving employees' queries.
Qualifications & ExperienceBachelor's degree in finance, Human Resources, Business Administration, or a related field (preferred).
2-3+ years of hands-on experience processing Malaysia, Singapore, Australia, New Zealand*, payroll using Workday and external payroll providers.
Strong understanding of Malaysia, Singapore, Australia, New Zealand*, payroll regulations, taxation, and statutory compliance.
Good Excel skills, including VLOOKUP, pivot tables, and data reconciliation.
Proficient with payroll and HR systems; strong technical aptitude and system navigation skills.
Exceptional attention to detail with a high level of accuracy in data entry and calculations.
Strong organizational and time management skills with the ability to meet strict deadlines.
Excellent problem-solving, analytical, and critical-thinking abilities.
Professional communication skills with the confidence to explain complex payroll concepts to employees and stakeholders.
