The IP Patient Care Coordinator is responsible for ensuring smooth coordination and support for admitted patients and their families. The role focuses on patient experience, documentation, service coordination, and communication between clinical and administrative teams.
2. Key ResponsibilitiesA. Admission Process
Assist patients and attendants during the admission process.
Verify documents, insurance details (if applicable), and admission orders.
Ensure bed allocation is completed as per availability and category.
Explain room facilities, hospital policies, and visiting hours.
B. In-Patient Coordination
Coordinate with nursing, housekeeping, dietary, pharmacy, and other support teams.
Update the system with daily patient details (movements, transfers, upgrades).
Assist patients in scheduling diagnostics, surgeries, and procedures.
Help in arranging ambulance or patient shifting when required.
C. Insurance & Documentation
Support insurance verification and documentation (cashless / reimbursement).
Coordinate with the insurance team for pre-auth, approvals, and queries.
Ensure all treatment and service notes are updated for accurate billing.
Maintain proper filing of consents, reports, and patient documents.
D. Patient Billing Coordination
Update daily services in the billing system.
Ensure accurate posting of investigations, procedures, and nursing charges.
Educate patients and families about deposits, estimated bills, and package inclusions.
Coordinate for interim bills and keep attendants informed.
Assist billing team during discharge finalization.
E. Patient Experience & Communication
Address patient and family concerns politely and professionally.
Regularly check on patient comfort (room cleanliness, diet, facilities).
Escalate issues to respective departments for quick resolution.
Collect patient feedback and report to the Service Excellence/Operations team.
F. Discharge Process
Coordinate with doctors and nurses for discharge summary preparation.
Ensure medication reconciliation, discharge file completion, and signatures.
Assist in discharge billing and settlement process.
Explain discharge instructions and follow-up requirements to patients.
3. Skills & Competencies
Excellent communication and customer service skills.
Good understanding of hospital processes (IP workflows).
Basic billing & insurance knowledge.
Strong coordination and multitasking abilities.
Proficiency in hospital software / HIS.
Ability to handle difficult situations calmly and empathetically.
