Key ResponsibilitiesAdministrative & Calendar Management
Manage the MD's diary: schedule and prioritize meetings (staff, parents, management, vendors, regulators).
Screen and handle emails, letters, phone calls; draft responses and notes.
Maintain physical and digital files, records, and confidential documents.
Meetings, Documentation, and Follow?up
Organize meetings: prepare agenda, circulate papers, arrange venue/online links.
Take minutes of meetings (academic council, management meetings, disciplinary committees) and track action points.
Prepare drafts of notices, office orders, reports, presentations, and summaries for the MD.
Coordination within the Institute
Liaise with principals/heads of department, exam cell, accounts, HR, and admin on behalf of the MD.
Follow up on deadlines for fee reports, admission status, exam schedules, NAAC/NBA/affiliation work, etc.
Channel routine issues (leave applications, complaints, maintenance requests) to the right department and brief the MD only on important points.
External Liaison and Compliance Support
Coordinate with universities/boards/councils, government authorities, and inspection teams (affiliation, accreditation, audits) as per MD's instructions.
Help compile and organize data for regulatory submissions, inspection files, and compliance reports (without replacing the work of academic/admin officers).
Travel, Events, and Visitor Management
Plan the MD's travel, local visits to campuses, and meeting schedules.
Support planning of major institutional events: orientation, convocations, seminars, placement drives, cultural/sports events (mainly for MD's role and protocol).
Manage visitors: parents, dignitaries, vendors, consultants; arrange briefings and hospitality.
Confidential and Strategic Support
Handle highly confidential matters (staff appraisals, disciplinary cases, salary issues, strategic plans).
Do basic research and prepare issue briefs so the MD is ready for key decisions or meetings.
Maintain professionalism, discretion, and neutrality in internal conflicts and sensitive matters.
Skills and Qualifications Typically ExpectedQualifications
Graduate in any discipline; preference for Management/Administration/Commerce/English or similar.
Experience as PA/Executive Assistant/Office Superintendent, ideally in an educational or corporate setup.
Skills
Strong written and spoken communication (English + local language).
Excellent MS Office skills: Word (letters, notes), Excel (basic data and reports), PowerPoint (presentations).
Time management, multitasking, and ability to work under pressure during admission/exam seasons.
High level of integrity and confidentiality; polite but firm dealing with staff and parents.
Reporting and Working Style
Direct reporting to the Managing Director.
Often extended working hours during peak periods (admissions, inspections, events).
