to work directly with a UK-based financial adviser. You will be the primary point of contact supporting the adviser in delivering personalised financial solutions to customers across insurance, pensions, investments, and occasional mortgage cases.
This role requires a proactive individual who can manage tasks independently, handle sensitive financial data with care, and ensure full compliance with UK regulatory requirements.
You'll be expected to manage the entire administrative lifecycle--from onboarding customers and preparing documentation to completing applications and coordinating follow-ups--while keeping both the adviser and customers updated.
Key Responsibilities
Customer Onboarding & Documentation
Assist the adviser during virtual meetings and take comprehensive notes
Complete fact finds and ensure all onboarding paperwork is accurate and fully collected
Perform AML checks and verify identity/address (passport, utility bill, etc.)
Request and manage
Letters of Authority
to access information from existing providers
Maintain clear, date-ordered records of all correspondence and documents
Product Research & Applications
Understand each customer's financial goals as outlined by the adviser
Obtain quotes for protection and insurance products
Assist in preparing risk profiles and documenting customer suitability
Draft suitability reports and ensure proper sign-off before submission
Complete and submit online applications, track underwriting status, and schedule medicals where needed
Communication & Case Management
Communicate directly with the adviser and respond promptly to task requests
Keep customers informed via professional and timely email updates
Update case records in
Intelligent Office (IO)
or equivalent system
Ensure application progress is closely monitored and escalated when necessary
Follow up on outstanding documents and ensure timely delivery of all outputs
Ongoing Customer Support
Help schedule and prepare for annual review meetings with customers
Maintain continuous case tracking and monitor changes in product or customer details
Support the adviser in delivering a consistent and compliant customer experience
What You'll Need
1-3 years' experience in financial services administration, paraplanning, or client servicing
Familiarity with
financial advice processes
in insurance, pensions, or investments
Excellent English communication skills - written and spoken
Strong attention to detail, time management, and ability to manage multiple cases
Confidence in using
Intelligent Office (IO)
or similar CRM / back-office software
A high level of
ownership and responsibility
- you are the sole support person for the adviser
Preferred but Not Required
Exposure to UK-based life insurance, pension, or investment products
Basic understanding of
FCA compliance

Progress toward CII or other industry-recognised financial certifications
Experience submitting online applications for protection or investment products
