To provide high-level administrative, secretarial, and organizational support to the Managing Director (MD), ensuring efficient handling of all business and personal matters, coordination of internal and external communication, and managing the MD's day-to-day schedule in a dynamic construction environment.
Key Responsibilities:
Administrative Support:
Manage and maintain the MD's calendar, schedule meetings, and coordinate appointments.
Organize and prepare materials for meetings, presentations, and reports.
Maintain confidentiality and handle sensitive information with discretion.
Screen telephone calls, emails, and correspondence on behalf of the MD
Communication & Coordination:
Act as the primary point of contact between the MD and internal/external stakeholders.
Coordinate communication with clients, consultants, contractors, and government bodies.
Draft, review, and send business correspondence, minutes, and reports as directed.
Travel & Event Management:
Arrange travel, accommodation, and logistics for the MD's business and personal trips.
Organize meetings, site visits, conferences, and corporate events as required.
Documentation & Filing:
Maintain filing systems for official records, project documentation, and legal files.
Track and follow up on pending tasks, approvals, and documentation from various departments.
Support in Project Coordination:
Assist the MD in monitoring key project timelines, deliverables, and reporting.
Coordinate with project and site teams for updates, reports, and site visits.
Personal Tasks:
Handle certain personal affairs of the MD, such as appointments, purchases, and errands, as required.

Qualifications & Experience:
Bachelor's degree in Business Administration / Secretarial Practice / Communications
3+ years of experience as a Personal or Executive Secretary, preferably in the construction or engineering sector
Fluency in English and local languages
