Position Summary
We are seeking an experienced and highly skilled Order Specialist to join our dynamic team. The ideal candidate will have an elite skill set in data analysis, contract review, and order management. This role is crucial for ensuring the accuracy and integrity of our order processing system, maintaining compliance with legal agreements, and implementing best practices for deal desk and order management. It will also serve as a primary contact for monitoring our renewal and churn process for customers.
This position requires meticulous attention to detail, strong organizational skills, and the ability to effectively communicate with various departments, including Sales, Finance, Legal, and Customer Success. The ideal candidate will ensure the accuracy and efficiency of the contract lifecycle, from initial creation to final execution and billing.
Key Responsibilities

  • Order Management:
  • Ensure adherence to the order management checklist, verifying that all steps are completed accurately and in a timely manner.
  • Manage and process customer orders, ensuring all details are accurately recorded and maintained in the system.
  • Coordinate with cross-functional teams (sales, finance, legal, etc.) to resolve any order-related issues.
  • Contract Review:
  • Conduct detailed reviews of customer contracts, focusing on legal redlines and ensuring all agreed-upon terms are accurately reflected in the deals.
  • Collaborate with the legal team to address any discrepancies or concerns identified during the contract review process.
  • Maintain a comprehensive understanding of contract terms and conditions to ensure compliance.
  • Help with the contract lifecycle from drafting, negotiation, approval, signature, and renewal when applicable.
  • Maintain a repository of all active and historical contracts, ensuring easy retrieval and reference.
  • Data Analysis:
  • Analyze order data to identify trends, discrepancies, and areas for improvement.
  • Prepare reports on order metrics and KPIs for management review.
  • Use data insights to recommend and implement process improvements.
  • Conduct periodic audits of contracts and orders to ensure ongoing compliance and accuracy.
  • Communication and Coordination:
  • Serve as the primary point of contact for internal stakeholders regarding contract and order status.
  • Liaise with the Finance department to ensure accurate and timely invoicing based on contract terms.
  • Collaborate with Legal to address any contractual issues or amendments.
  • Renewal/Churn Process Management
  • Act as the primary owner of the churn playbook in Planhat when a customer is assigned.
  • Analyze the Master Service Agreement (MSA) to determine if the customer has a termination option.
  • Collect termination notices from the Renewal Manager and confirm termination rights.
  • Notify the Customer Success Manager (CSM) and relevant Account Manager's (AM) leadership about the termination.
  • Inform the customer about the offboarding process and confirm the termination date.
Education and Experience:
  • Bachelor's degree in Business Administration, Finance, Legal Studies, or a related field or related work experience.
  • 3+ years of experience in order management, contract administration, or a related role within the SaaS industry.
Skills and Competencies:
  • Good understanding of contract law and commercial terms, particularly in a SaaS environment.
  • Proficiency in using CRM and systems (e.g., Salesforce, Planhat, etc..).
  • Excellent organizational skills with a high degree of attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
Technical Skills:
  • Proficiency in Microsoft Office Suite, particularly Excel and Word a plus.
  • Familiarity with contract management software is a plus (SFDC CPQ).
