Operations Specialist, C4IR India Office

Why we are Recruiting

The Mumbai office has rapidly expanded necessitating dedicated management of operational activities to the office, its Forum staff and to the Head of the Centre.

Reporting Lines & Interactions

The successful candidate will report directly into the Head of C4IR India and work closely with all colleagues who are Mumbai based. They will liaise extensively with Finance, Procurement, People & Culture, external suppliers/providers of services and support to the Mumbai office.

Main responsibilities

Operations

  • Manage professional services consultant contracts and service delivery KRAs, agreements, payments by liaising with the legal, accounting and finance and procurement team.
  • Engagement with external suppliers on:
  • Accounting and Payroll, Compliances- EY, Audit-KMLLP, Employee Insurance support \xe2\x80\x93 Marsh
  • PF, Gratuity- Mercer
  • Legal- AZB
  • NPS- HDFC
  • Banking and Credit cards- ICICI
  • RIL- Office, Mobile-Jio
  • Coordinate with Reliance office support functions for Forum office (New employee, guest access, IT support, Office logistics support)
  • Liaise with the IT teams to see smooth functioning of all IT equipment and working with local vendors for hardware upkeep and supplies, Inventory management
  • Assisting track regular compliance filings with government authorities in coordination with EY, AZB,
  • Contribute to the successful delivery of internal and external events
Accounts and Finance
  • Provide administrative support to the India team- Consolidating expense reimbursements via internal Forum Systems (Concur), Coordinate with EY team for payment claims
  • ICICI Corporate card cash balance along with Accounting team
  • Managing auditing processes in collaboration with the Forum\xe2\x80\x99s Finance team, Legal compliance process tracking
  • New vendor contracts- Procurement
  • Assisting in budget planning
Strategic Communications
  • Manage content and engagement across the C4IR India\'s public- and internally facing digital spaces
  • Collaborate with the Forum\xe2\x80\x99s digital teams to advance the Centre\xe2\x80\x99s digital platforms, improving user experience and expanding relevant features and functions
  • Drive external communications by curating, coordinating and drafting communication assets such as the monthly C4IR newsletter, impact stories, and Forum Agenda blogs
People and Culture
  • Maintain all updates to the India Employee handbook, Holiday calendar and compliance processes in line with Forum policies and guidelines
  • Ensure recruitment, talent review and other HR processes are effective and in close co-operation with the Forum\xe2\x80\x99s People & Culture team
  • New employee, consultant, Fellows on boarding as per forum processes
  • Fellow contracts- coordinate with P&C and Legal
The successful candidate will be assessed on
  • Ability to develop, manage, and coordinate partnerships within the \xe2\x80\x9cInvestor Biodiversity Learning Coalition\xe2\x80\x9d.
  • Ability to engage with senior stakeholders and assess collaboration opportunities in different contexts.
  • Thought leadership and expertise in Biodiversity Finance, including a broad network with experts and institutions working on these topics.
  • Demonstrated experience documenting and consistently sharing new opportunities, results, and milestones with internal and external stakeholders.
Preferred requirements and experience
  • Bachelors or advanced university degree or a qualification in related administrative fields
  • At least 7 years\xe2\x80\x99 work experience in an office management, ideally in an international environment, with multi-national organisations
  • Direct oversight experience, as well as demonstrated knowledge of events coordination, experience with vendors/contract management and ability to manage various projects/initiatives
  • Ability to work autonomously, ability to develop solutions to complex problems, within a fast-paced environment
  • Advanced working knowledge of MS Office, Strong familiarity with WeLink, Salesforce, Qualtrics, MS Office, and project management tools is highly preferred
  • Fluency in English and Hindi - excellent written and verbal communication skills is required in English

  • Detail-oriented, organized and customer-focused
  • Collaborative planner and composed under pressure, Outstanding organizational skills and are able to juggle multiple tasks and assignments simultaneously
  • Strong interpersonal skills and emotional intelligence, and a high degree of diplomatic sensitivity
  • Team player who has a customer-oriented mindset who is willing to support and collaborate with all office staff and is instrumental in creating and maintaining harmonious relations

  • Master\xe2\x80\x99s degree in political science, international relations, global studies, or other relevant fields
  • 2-3 years of relevant professional experience, preferably at international level
  • Strong writing skills, ideally including work with Media and/or high-profile public initiatives
  • Excellent communications skills, including creation of visually compelling presentations and outreach materials
  • Hands-on experience developing and managing initiatives and communities, including interacting with executive leaders and helping to turn ideas into tangible action and impact
  • Passion for technology and innovation, including an understanding of societal challenges, government relations and/or cross-country cooperation
  • Experience and comfort working on matters involving knowledge management, administrative and coordination support
  • Comfort driving initiatives and working with a high level of independence
  • Outstanding command of written and spoken English; knowledge of other languages would be an asset
  • Strong familiarity with WeLink, Salesforce, Qualtrics, MS Office, and project management tools is highly preferred.
