The Operations Manager is responsible for overseeing the overall administrative and operational functions of the college. The role ensures efficient execution of day-to-day activities, coordination between departments, and adherence to institutional policies. The Operations Manager plays a crucial role in maintaining operational excellence, supporting academic delivery, and ensuring a safe, orderly, and well-managed campus environment.
Ensure smooth and efficient functioning of daily college operations.
Supervise all administrative units including front office, housekeeping, transport, and security.
Ensure timely availability of resources and logistical support for academic and non-academic departments.
Implement operational procedures aligned with institutional standards.
B. Staff Management & Supervision
Supervise non-teaching staff and monitor performance, attendance, and discipline.
Allocate duties, prepare work schedules, and ensure adequate staffing.
Conduct periodic training sessions to improve staff efficiency and service quality.
Address staff-related issues in coordination with HR.
C. Facilities & Infrastructure Management
Oversee the maintenance, cleanliness, and upkeep of all campus buildings, classrooms, laboratories, and common areas.
Coordinate with vendors and service providers for facility maintenance, repairs, and AMC renewals.
Maintain asset registers and ensure optimal utilization of institutional resources.
D. Student Services & Campus Coordination
Oversee student-related operational processes such as ID cards, transport, campus access, and general services.
Support in maintaining discipline and ensuring smooth student movement and campus order.
Resolve student operational concerns in a timely and professional manner.
E. Compliance & Policy Implementation
Ensure adherence to institutional policies, procedures, and statutory requirements.
Maintain all operational records, licenses, and compliance documentation.
Support audits, inspections, and regulatory visits as required.
F. Reporting & Documentation
Prepare periodic reports on operational activities for management review.
Maintain logs, registers, inventories, and facility usage records.
Document operational incidents, resolutions, and preventive actions.
G. Coordination & Liaison Activities
Serve as the primary operational point of contact for internal departments and external agencies.
Coordinate with vendors, contractors, and service providers.
Support management during events, admissions, examinations, and other major activities.
3. QUALIFICATIONS & EXPERIENCE
Bachelor's Degree in Management/Administration or related field (Master's degree preferred).
Minimum
5-10 years of experience
in administration or operations, preferably in an educational institution.
Demonstrated experience in staff supervision and facility management.
Strong digital literacy; proficiency in MS Office and administrative software.
