Business Operations Coordinator/Executive
to support our end-to-end operations across
Editorial, Production, Sales, Events, Digital Marketing, and Admin

What You'll Do
Editorial, Content & Digital Operations
Coordinate copy follow-ups, content submissions, and proofreading.
Ensure SEO checks and daily website updates are completed on time.
Review and approve articles before publishing.
Production & Magazine Management
Manage magazine production cycles from planning to print.
Maintain flatplans, track ad placements, and ensure all pages are finalized.
Coordinate design requests and ensure creatives are delivered on schedule.
CRM, Ad Ops & Workflow Coordination
Manage Zoho CRM entries, deal updates, bookings, and order movements.
Upload print and digital ads via QPS with 100% accuracy.
Track project calendars and ensure deadlines across teams are met.
Sales Support & Lead Coordination
Assist with generating qualified client lists and making outbound calls.
Update all interactions in CRM and support joint sales calls.
Help with weekly outreach reports and pipeline updates.
Email Campaigns & Newsletters
Coordinate newsletter scheduling, testing, and deployment.
Ensure 100% accurate tracking links and timely e-shot deliveries.
Monitor digital performance and suggest improvements.
Event Coordination
Source venues, negotiate pricing, and support contract management.
Assist the delegate acquisition team with outreach and tracking.
Coordinate with design, marketing, and content teams for event assets.
Admin & Compliance Support
Manage renewals (trade license, insurance, PO Box, lease).
Coordinate vendor interactions and maintain office documentation.
Keep internal trackers and reports up to date.
What We are Looking For
6-10 years
of experience in Business Operations, Production, Events, Project Coordination, or similar roles.
Experience in
media, publishing, events, or digital operations
is a plus.
Strong skills in
Zoho CRM, QPS, MS Office, production workflows, and coordination
.
Excellent communication, follow-up, prioritization, and multi-tasking abilities.
A proactive, detail-oriented person who thrives in deadline-driven environments.
