We are seeking a highly organized and proactive Operations Executive to support our team in managing daily operations, coordinating projects, and ensuring efficient office management. The ideal candidate will possess strong administrative skills, be detail-oriented, and have experience in event planning, bookkeeping, and executive support. Responsibilities
Oversee and coordinate daily office operations to ensure smooth workflow
Manage calendar scheduling and appointment setting using Microsoft Outlook Calendar and Google Workspace
Provide executive administrative support, including document proofreading, transcription, and data entry
Assist with event planning and project coordination to facilitate company initiatives
Handle bookkeeping tasks using QuickBooks and maintain accurate financial records
Manage front desk duties, including multi-line phone systems, customer service, and greeting visitors
Organize files, maintain records, and ensure proper filing systems are in place
Utilize office management software such as Microsoft Office Suite and DocuSign for document processing
Support personal assistants or senior executives with administrative tasks as needed
Ensure office supplies are stocked and manage vendor relationships for office needs
Maintain high standards of phone etiquette and professional communication at all times
Skills
Proven experience in office management, administrative support, or related roles
Strong organizational skills with the ability to multitask effectively
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools
Experience with QuickBooks, bookkeeping, and basic accounting practices
Excellent typing speed and transcription skills for accurate documentation
Ability to coordinate projects efficiently while managing multiple deadlines
Exceptional proofreading skills to ensure accuracy in all documents
Familiarity with multi-line phone systems and front desk operations
Strong customer service orientation with professional phone etiquette
Knowledge of event planning logistics and project coordination techniques
Ability to adapt quickly to new software platforms like DocuSign and Microsoft Outlook Calendar
Demonstrated ability to work independently with minimal supervision while maintaining team collaboration
Pay: ?20,000.00 - ?30,000.00 per month
