To ensure the smooth and efficient operation of all tours from booking to completion.
The Tour Operations Executive coordinates with suppliers, internal teams, and customers to deliver high-quality travel experiences while maintaining cost efficiency and operational accuracy.
Key Responsibilities
1. Tour Execution & Coordination
Manage confirmed bookings and departures for group and FIT (Free Independent Traveler) tours.
Ensure all travel arrangements (flights, hotels, transfers, sightseeing, meals, guides) are confirmed accurately and on time.
Prepare detailed itineraries, service vouchers, and travel documents for clients and tour leaders.
Monitor daily operations and handle on-ground challenges promptly.
2. Supplier Liaison
Communicate and coordinate with hotels, transport providers, guides, and activity suppliers.
Confirm services, special requests, and last-minute changes.
Ensure service standards are met and report any supplier issues.
3. Financial Administration
Request and compare supplier quotations to ensure cost efficiency.
Prepare purchase orders and verify supplier invoices.
Maintain accurate cost sheets and assist in post-tour cost reconciliation.
4. Quality Control & Customer Service
Check all documents for accuracy before tour departure.
Follow up with customers and tour leaders during and after the tour to ensure satisfaction.
Handle complaints or service issues professionally and promptly.
5. Coordination with Internal Teams
Work closely with the Sales and Product departments for itinerary feasibility and pricing.
Support the Accounts team with payment follow-ups and documentation.
Provide updates to the Marketing team regarding tour details and changes.

Negotiation and problem-solving skills.
Good knowledge of destinations, geography, and travel industry trends.
Proficiency with booking systems and MS Office (Excel, Word, Outlook).
Qualifications & Experience
Bachelor's degree in Tourism, Hospitality, or a related field.
1-3 years of experience in a tour operations or reservations role (preferably in a tour operator environment).
Familiarity with GDS (Amadeus, Galileo) or tour management software is an advantage.
Fluency in English, Hindi & Telugu (additional languages are a plus).
Work Conditions
Office-based with occasional travel (for supplier visits, inspections, or accompanying groups).
May require occasional weekend or after-hours support during peak travel seasons.
