Handle all aspects of shipment processing, including booking cargo space (ocean, air, or road), selecting carriers, and coordinating pickup and delivery schedules.
Documentation & Compliance:
Prepare, check, and process all necessary shipping documentation (e.g., Bills of Lading, Air Waybills, manifests, commercial invoices, packing lists, customs declarations). Ensure full compliance with national and international regulations, including
Incoterms
and
customs requirements
.
Tracking & Monitoring:
Proactively track shipments from origin to destination, providing timely updates to the sales team and clients on delays, deviations, and estimated arrival times.
Vendor Management:
Communicate and coordinate with vendors, carriers, warehouses, and customs brokers to ensure smooth operations and resolve any logistical issues quickly.
2. Efficiency and Cost Control
Rate Negotiation:
Negotiate and confirm competitive freight rates with carriers and service providers to optimize profitability.
Cost Management:
Monitor and manage operational costs, ensuring all services are billed correctly and that profit margins are maintained.
Problem Resolution:
Act as the main point of contact for operational challenges (e.g., cargo damage, port delays, customs holds) and implement effective solutions to minimize disruption.
3. Administration and Collaboration
System Entry:
Accurately input and maintain shipment data in the company's logistics software/ERP system.
Reporting:
Prepare operational reports on key performance indicators (KPIs) such as delivery success rates, transit times, and operational costs.
Cross-Functional Support:
Collaborate closely with the
Sales Team
to transition new business smoothly and with the
Finance Department
for accurate invoicing and payment processes.
Required Qualifications and Skills
Experience:
1-2 years of dedicated
operations experience
within a shipping company, freight forwarder, or a related logistics environment.
Education:
Bachelor's degree in Logistics, Supply Chain Management, Business, or a related field (or equivalent practical experience).
Technical Knowledge:
Strong working knowledge of various transport modes (e.g., FCL, LCL, FTL, LTL, Air Freight), international trade procedures, and customs clearance processes.
Skills:
Exceptional organizational skills, attention to detail, and proven ability to manage multiple tasks under pressure. Excellent communication skills, both written and verbal.
