to manage and coordinate international trade operations. The ideal candidate will have hands-on experience in handling export/import documentation, coordinating with suppliers and freight agents, and ensuring smooth shipment processes from order confirmation to final delivery.
Prepare, verify, and manage all export/import documentation including:
Purchase Orders (PO), Sales Contracts (SC), Proforma Invoices (PI)
Commercial Invoices, Packing Lists, Certificate of Origin, BL, Switch BL, Telex Release, etc.
Ensure accuracy and compliance of documents with international trade regulations and company standards.
Coordinate with inspection agencies (BV, SGS, or equivalent) for product inspection and certification as required.
Maintain updated records of all shipments, documents, and correspondence.
2. Coordination & Communication
Liaise with buyers, suppliers, freight forwarders, and shipping agents to ensure timely movement of goods.
Follow up with suppliers for cargo readiness and coordinate with logistics teams for shipment booking.
Handle customer queries regarding shipment status, schedules, and documentation.
Provide packaging, marking, and shipping instructions to suppliers and agents.
3. Shipment & Logistics Management
Arrange and monitor all shipment activities--sea, air, or courier--ensuring timely dispatch and delivery.
Track shipment movements and update customers and internal teams accordingly.
Coordinate with freight agents for booking, documentation, and customs clearance.
Support the logistics team in resolving delays, discrepancies, or damages during transit.
4. Financial & Administrative Responsibilities
Monitor and follow up on customer payments as per agreed terms.
Support in preparing cost sheets, freight comparisons, and other commercial documentation.
Maintain and update MIS reports for export/import operations.
Key Skills & Competencies:
Strong knowledge of
export/import documentation
and international trade procedures.
Excellent command of
English communication
(written and verbal).
Proficiency in
MS Office (Word, Excel, Outlook)
and documentation software/tools.
Ability to
manage multiple stakeholders
(buyers, suppliers, freight agents).
Strong
follow-up, coordination, and problem-solving skills.
Detail-oriented with a focus on
accuracy and compliance.
Ability to work independently and handle end-to-end export/import operations.
