The Operations Executive will be responsible for managing all travel and logistics-related activities for internal teams, artists, and event crew members. This includes planning, coordinating, and executing travel arrangements efficiently to ensure smooth operations for all organizational events and projects.
Key Responsibilities:
Plan, book, and manage travel arrangements (flights, trains, hotels, local transport) for internal teams, speakers, and event crew.
Coordinate visa, insurance, and other travel documentation requirements.
Ensure cost-effective travel bookings while maintaining comfort and quality standards.
Maintain and update travel calendars, itineraries, and schedules for multiple teams.
Liaise with vendors, travel agents, and logistics partners for best rates and service quality.
Manage on-ground logistics for team movements during events, including airport pickups, hotel check-ins, and venue transfers.
Track and process travel expenses, reimbursements, and maintain proper documentation.
Handle last-minute travel changes, cancellations, or emergencies efficiently.
Support event operations by ensuring seamless coordination between travel and event teams.
Maintain detailed records of bookings, budgets, and vendor invoices.
Requirements:
Bachelor's degree in Hospitality, Travel Management, or a related field.
2-4 years of experience in corporate travel coordination or event logistics.
Excellent communication and negotiation skills.
Strong organizational and multitasking abilities.
Proficiency in MS Office, Google Sheets, and travel booking platforms.
Ability to work under pressure and handle last-minute changes effectively.
Experience in the events or entertainment industry preferred.
