We are seeking an experienced Operations Coordinator with a background in managing delivery workflows in IT services and digital marketing. You'll play a critical role in ensuring our internal teams work in sync and all backend operations run smoothly. This role demands excellent task coordination, communication, and a deep understanding of service-based workflows.
Responsibilities:
Coordinate internal daily task flows across development, design, SEO, content, and marketing teams.
Manage project timelines using tools like Jira, ClickUp, ensuring deliverables stay on track.
Stay in touch with clients to coordinate product delivery, gather feedback, and ensure timely and satisfactory completion of deliverables.
Ensure all deliverables meet internal quality standards and align with client expectations before final submission.
Identify and manage vendors or third-party service providers as required for specific tasks or projects.
Coordinate with vendors to ensure deliverables are completed on time, meet quality standards, and align with project goals.
Maintain weekly project status reports and team activity logs for review by the leadership team.
Support onboarding of new team members, including checklists, documentation access, and introduction to company tools.
Track team performance metrics such as task completion, review cycles, and turnaround times.
Maintain internal documentation such as SOPs, naming conventions, revision logs, etc.
Assist in managing client documentation including SOWs, briefs, and NDAs in coordination with the account manager.
Facilitate inter-departmental communication to reduce bottlenecks and misalignments.
Monitor and ensure compliance with internal delivery processes and quality standards.
Schedule and organize internal review calls, sprint meetings, and team check-ins.
Requirements:
A bachelor's degree in business administration, information technology, or a related field.
3-5 years of experience in an operations, delivery coordination, or admin role within an IT services or digital marketing agency.
Hands-on experience with ClickUp and Jira for project and task tracking.
Proficiency in using Microsoft 365 tools (Outlook, Word, Excel, Teams, SharePoint) for collaboration and documentation.
Strong understanding of digital workflows: web/app development, SEO, paid campaigns, content calendars, and review cycles.
Experience in vendor sourcing, evaluation, and coordination is a strong plus.
Ability to create and maintain clear process documentation and team SOPs.
Strong communication skills in English, Hindi, and Gujarati.
Detail-oriented with strong organizational skills and the ability to multitask in a fast-paced environment.
