Key Responsibilities
Timesheet & Resource Coordination
+ Oversee employee timesheet submissions and approvals
+ Flag inconsistencies and help teams stay compliant with billing cycles
+ Generate timesheet summary reports for leadership
Internal Project Management
+ Track milestones, dependencies, and deliverables for internal projects
+ Maintain status dashboards and circulate weekly progress reports
+ Facilitate stand-ups, retrospectives, and sprint planning meetings
Finance & Budget Coordination
+ Support monthly budget tracking and financial reconciliations
+ Collaborate with finance and operations teams on vendor payments and expense monitoring
+ Assist in preparing quarterly forecasts and spending reports
CEO Schedule & Executive Ops Support
+ Manage CEO's calendar and optimize their meeting flow
+ Liaise with internal and external stakeholders to prioritize engagements
+ Support documentation, note-taking, and follow-ups from leadership meetings
Qualifications
+ 2-4 years in operations, admin, or project analyst roles (preferably in tech/startup environments)
+ Strong proficiency with tools like Excel/Google Sheets, Trello/Asana, Zoom, and calendaring systems
+ Working knowledge of budgeting basics and project lifecycle terms
+ Excellent communication, organization, and time-management skills
+ Experience working remotely and adapting across time zones
Preferred Skills
+ Familiarity with QuickBooks, Zoho Books, or similar finance tools
+ Prior exposure to executive support or C-suite coordination
+ Ability to synthesize multiple requests into clear priorities
