Role Summary:
The OPD Coordinator is the primary administrative and customer service lead for the Outpatient Department. This role ensures the efficient, compassionate, and professional coordination of patient appointments, billing, and clinical logistics. The Coordinator acts as the crucial liaison between the patient/family, the clinicians, and the foundation's administrative teams.
Key Responsibilities:
1. Patient & Appointment Coordination
Manage the daily scheduling and booking of appointments for the multidisciplinary team (Psychologists, Therapists, Doctors).
Serve as the first point of contact for all OPD visitors, managing check-in, check-out, and initial inquiry handling.
Communicate proactively with patient parties (parents, caregivers, corporate partners) regarding appointment status, delays, and preparation requirements.
Maintain accurate and confidential patient records (physical and digital files) according to organizational protocols.
2. Billing & Financial Management
Coordinate the payment process, including collecting consultation fees and package payments (if applicable).
Issue and maintain accurate billing and invoice entries using the designated software/system.
Reconcile daily cash and digital transactions, ensuring all financial records align with appointments rendered.
Handle insurance/subsidy documentation and coordination where applicable, guided by DeepRanjani's policy.
3. Administrative & Clinical Support
Ensure the OPD waiting area and consultation rooms are clean, well-stocked, and organized.
Coordinate with internal clinical staff to manage case file flow, ensure therapist schedules are updated, and relay important patient updates.
Manage inventory of office supplies and basic therapeutic materials for the OPD section.
Generate weekly and monthly reports on OPD patient volume, revenue, and utilization rates for management review.
Qualifications and Experience:
Education:
Bachelor's degree preferred.
Experience:
Minimum of 2-3 years of experience in a front-office, administrative, or coordination role, preferably within a healthcare, clinical, or NGO setting.
Proficiency in financial record keeping and basic accounting software/spreadsheet management (e.g., Microsoft Excel).
Exceptional organizational skills and the ability to manage multiple complex schedules simultaneously.
Demonstrates a high level of empathy and sensitivity when dealing with special needs individuals and their families.
