Office Staff
member to join our team. The ideal candidate will be a positive, professional self-starter who excels at multitasking and maintaining an organized and efficient office environment.
Key Responsibilities:
Administrative Support:
Provide general clerical and administrative support, including drafting, editing, and proofreading documents, reports, and internal/external correspondence.
Reception & Communication:
Manage the front desk, including greeting and directing visitors, answering and routing incoming phone calls, and handling general email inquiries with professionalism.
Data Management:
Accurately enter, update, and maintain data in spreadsheets, databases, and digital filing systems, ensuring all records are organized and easily retrievable.
Office Operations:
Maintain inventory of office supplies, manage procurement and ordering processes, and coordinate maintenance for office equipment (printers, copiers, etc.).
Scheduling & Logistics:
Assist in coordinating and scheduling meetings, appointments, and travel arrangements for staff members, managing calendars using programs like Outlook or Google Calendar.
Mail & Shipments:
Sort and distribute incoming mail and packages; prepare and process outgoing mail, including courier shipments.
Filing & Record Keeping:
Maintain and organize both physical and electronic filing systems in accordance with company policies to ensure compliance and data integrity.
General Duties:
Assist management and other departments with special projects, errands, and overflow tasks as needed to support overall business operations.
Required Skills & Qualifications:
Education:
Diploma or any degree
Computer Proficiency:
Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) or Google Workspace. Experience with accurate data entry is essential.
Organizational Skills:
Exceptional organizational, time management, and multitasking abilities with a strong attention to detail.
Communication:
Excellent verbal and written communication skills and a professional telephone etiquette.
Interpersonal Skills:
Ability to work effectively both independently and as part of a team, demonstrating discretion and the ability to handle confidential information.
