Key Responsibilities:
Oversee and manage day-to-day administrative activities, ensuring smooth office operations and workflow
Manage schedules, calendars, travel arrangements, meetings, and event planning for executives and leadership teams
Prepare and organize documents, reports, presentations, and facilities for meetings and special projects
Coordinate communication between internal departments and external partners, clients, and vendors
Support recruitment, onboarding, HR documentation, and team management activities
Assist with budgeting, expense monitoring, recordkeeping, bookkeeping, and financial reporting
Maintain organized filing systems and databases (digital and paper-based)
Supervise staff, delegate tasks, optimize processes to improve productivity and efficiency
Handle client correspondence, resolve issues, and maintain professional relationships
Support marketing, PR, and business development projects as needed
Monitor, improve, and ensure compliance with company policies and confidential data
Provide executive-level support for special initiatives, project management, and problem-solving
Required Skills:
Strong communication, leadership, and interpersonal skills
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word), Google Workspace, and online collaboration tools
Advanced organizational and multitasking abilities
Experience managing team operations, HR processes, and staff development
Solid background in administrative management, scheduling, and office supervision
Ability to adapt, prioritize, and work proactively under deadlines
Sound judgment in handling confidential information, client relations, and executive support
Familiarity with recordkeeping, finance basics, and reporting
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field
3+ years of relevant experience in office administration, executive assistance, or management roles
Prior experience in hospitality, e-commerce, technology, or professional services is a plus
