to oversee the daily operations of our office and ensure smooth functioning across all departments, particularly in the absence of the Managing Director (MD). The ideal candidate will be responsible for inter-departmental coordination, managing communications, and ensuring all operational tasks are completed efficiently and on time.
Key Responsibilities:
Administrative Management
Oversee daily office operations to ensure efficiency and productivity.
Maintain office supplies inventory and coordinate with vendors as needed.
Ensure the office environment is clean, organized, and compliant with company policies.
Department Coordination
Monitor the performance and deliverables of different departments.
Facilitate communication between departments and resolve any operational bottlenecks.
Follow up with department heads to ensure timelines and priorities are met.
Communication & Follow-ups
Manage all official correspondences, internal memos, and emails on behalf of the MD when required.
Follow up on pending tasks and ensure closure within set deadlines.
Prepare daily/weekly status reports for the MD.
Executive Support
Attend to phone calls and official queries on behalf of the MD.
Schedule and coordinate meetings, appointments, and travel arrangements.
Maintain a calendar and alert the MD about important deadlines and meetings.
Operational Oversight
Ensure uninterrupted office operations in the absence of the MD.
Take key decisions (as authorized) to maintain continuity and resolve urgent issues.
Act as the central point of contact for all operational matters.
Team Supervision
Supervise and support administrative and junior staff.
Conduct briefings or training as required to align staff with operational goals.
Requirements:
Proven experience as an Office Manager or in a similar administrative role.
Strong leadership, coordination, and interpersonal skills.
Excellent organizational and multitasking abilities.
Proficient in MS Office (Word, Excel, Outlook) and general office software.
Strong verbal and written communication skills.
Ability to work independently and make decisions in a fast-paced environment.
Bachelor's degree in Business Administration, Management, or related field (preferred).
