We are seeking a competent and organized Office Manager to join our team. The Office Manager will oversee the administrative operations of our office, ensuring efficiency and compliance with company policies. The ideal candidate will have excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving.
Responsibilities:
Administrative Management:
Supervise and coordinate administrative staff, including receptionists, administrative assistants, and clerical support staff.
Develop and implement office policies and procedures to ensure smooth operations and adherence to company guidelines.
Maintain office supplies inventory by checking stock, anticipating needs, and placing orders as necessary.
Oversee the maintenance and repair of office equipment, including computers, printers, and copiers.
Handle incoming and outgoing correspondence, including mail, emails, and phone calls, and ensure timely responses.
Manage office budgets and expenses, track spending, and reconcile accounts as needed.
Facilities Management:
7. Coordinate office facilities management, including maintenance, repairs, cleaning, and security services.
Liaise with building management and vendors to address facility-related issues and ensure a safe and comfortable work environment.
Oversee office renovations, relocations, and space planning initiatives as needed.
HR and Employee Relations:
10. Assist in the recruitment and onboarding of new employees, including scheduling interviews, conducting orientations, and preparing new hire documentation.
Maintain employee records, including attendance, leave balances, and performance evaluations.
Coordinate employee events, meetings, and training sessions, and provide logistical support as needed.
Financial Administration:
13. Assist in preparing and monitoring office budgets, expenses, and financial reports.
Process invoices, expense reports, and reimbursements, and ensure timely payment of bills.
Collaborate with accounting and finance teams to reconcile accounts and resolve discrepancies.
IT and Technology Support:
16. Serve as the primary point of contact for IT support, troubleshooting technical issues, and coordinating repairs and upgrades with IT vendors.
Maintain inventory of IT equipment and software licenses, and assist in the procurement and installation of new technology as needed.
Health and Safety Compliance:
18. Ensure compliance with health and safety regulations and company policies, including maintaining emergency procedures, first aid supplies, and safety training records.
Event Planning and Coordination:
19. Plan and coordinate office events, meetings, conferences, and other special events, including venue selection, catering arrangements, and logistical support.
Executive Support:
20. Provide administrative support to senior management, including scheduling meetings, managing calendars, and preparing reports and presentations.
