The Office Executive plays a key role in maintaining the efficiency, organization, and professionalism of office operations. This position ensures smooth coordination between departments, handles administrative responsibilities, supports management, and contributes to a productive work environment.

Key Responsibilities1. Administrative Operations

Manage daily office activities and ensure smooth workflow. Maintain physical and digital filing systems for documents, records, and reports. Draft, format, and distribute official letters, notices, and memos. Handle incoming and outgoing correspondence (emails, courier, phone calls). Maintain confidentiality of company information and documents.
2. Communication & Coordination

Act as a communication bridge between management, staff, and external parties. Coordinate meetings, conferences, and appointments. Prepare meeting agendas, presentations, and minutes of meetings. Follow up on action points from meetings.
3. Documentation & Reporting

Prepare reports, spreadsheets, and presentations as required by management. Maintain attendance, leave, and employee records. Assist in audit preparation and compliance documentation. Ensure proper documentation for approvals and processes.
4. HR & Staff Support

Assist HR in recruitment coordination, interview scheduling, and onboarding. Maintain employee records and HR files. Support training and staff engagement activities. Handle employee queries related to policies and procedures.
5. Office Resource Management

Monitor and manage office supplies and stationery inventory. Coordinate with vendors, service providers, and maintenance staff. Ensure office equipment such as printers, computers, and internet are functioning properly. Arrange repairs and maintenance when required.
6. Customer & Visitor Handling

Greet visitors professionally and guide them appropriately. Handle client and vendor interactions courteously. Maintain visitor records.
7. Compliance & Quality

Ensure office activities comply with company policies. Support internal audits and quality checks. Maintain discipline, cleanliness, and professional standards in the office.
Required Qualifications

Bachelor's degree in Business Administration, Commerce, Arts, or any relevant field. Certification in office administration or computer applications is an advantage.
Experience

1-5 years of experience in office administration or executive support role. Freshers with strong communication and computer skills may also be considered.
Skills & CompetenciesTechnical Skills

Proficiency in MS Word, Excel, PowerPoint, and Outlook. Knowledge of office management systems and documentation. Basic understanding of HR and accounting processes.
