The Office Executive is responsible for providing essential
administrative, clerical, and operational support
to ensure the smooth and efficient running of the office. This role requires strong organizational skills, excellent communication, and proficiency in standard office software.
Key Responsibilities
1.
Administrative & Clerical Support
Documentation:
Prepare, edit, and organize various office documents, reports, and presentations using
MS Word
and
PowerPoint
.
Data Management:
Handle and maintain company databases, spreadsheets, and records with high accuracy, primarily using
MS Excel
. This includes data entry, sorting, basic formula application, and generating summary reports.
Filing & Archiving:
Establish and maintain efficient physical and electronic filing systems.
Supply Management:
Monitor and manage office inventory, including ordering, receiving, and stocking supplies.

Communication & Correspondence
Email Management:
Manage and prioritize incoming and outgoing emails, including composing, drafting, and proofreading professional correspondence (
Mail Drafting
).
Verbal Communication:
Handle phone calls, greet visitors, and manage internal and external queries in a professional and courteous manner.
Internal Coordination:
Facilitate clear communication and coordination between different departments or teams.
3.
Operational & Executive Assistance
Meeting Support:
Schedule and coordinate meetings, book conference rooms, and prepare necessary materials.
Travel Arrangements:
Assist in booking travel and accommodation for staff and managers, as required.
Basic Finance Support:
Utilize the commerce/management background to assist with basic invoicing, expense reports, and petty cash management.
Required Qualifications & Skills
Education
Mandatory:
Bachelor's Degree in
B.Com (Commerce), B.Sc. (Any Stream), or BBA (Business Administration)
from a Recognized institution.
Core Skills
Communication Skills:
Excellent written and verbal communication skills
are essential for clear and professional interaction.
MS Office Suite Proficiency:
High proficiency
in:
MS Excel:
Must be able to create, format, and manage spreadsheets, use basic formulas (SUM, AVERAGE, VLOOKUP), and create charts.
MS Word:
Expert-level document creation, formatting, and editing.
MS PowerPoint:
Ability to create clear, professional, and visually engaging presentations.
Mail Drafting:
Proven ability to draft professional, concise, and grammatically correct emails and formal letters independently.
Organizational Skills:
