Job Description

The Office Executive plays a key role in ensuring smooth day-to-day operations within the travel company. This role involves administrative support, customer coordination, documentation handling, and assisting travel consultants with itinerary preparation and booking processes. The Office Executive acts as a central point of communication between clients, vendors, and internal teams.

Key Responsibilities1. Administrative & Office Management



Handle daily office operations, including phone calls, emails, walk-in inquiries, and appointment scheduling. Maintain office records, filing systems, and travel documentation. Manage office supplies, stationery, and vendor coordination. Ensure compliance with company policies and travel industry standards.

2. Customer Support



Assist customers with inquiries related to travel packages, bookings, cancellation policies, and documentation requirements. Provide timely responses to queries via phone, email, and in-person. Maintain customer satisfaction through professional communication and follow-ups.

3. Booking & Documentation



Support travel consultants in preparing itineraries, quotations, and travel proposals. Assist with bookings for flights, hotels, transportation, tours, and travel insurance. Process visas, passports, travel permits, and other client documentation. Maintain accurate records of bookings, vouchers, invoices, and payments.

4. Coordination & Communication



Coordinate with travel suppliers, airlines, hotels, and tour operators. Ensure timely delivery of travel vouchers, tickets, and confirmation details. Communicate changes, updates, or special requests to clients and vendors.

5. Data Management & Reporting



Update CRM or travel management systems with client information and booking details. Prepare daily, weekly, and monthly reports on sales, inquiries, and office activities. Assist in maintaining client databases and travel package information.

Skills & QualificationsEssential Skills



Strong communication and interpersonal skills Good organizational and time-management abilities Proficiency in MS Office (Word, Excel, PowerPoint) & email communication Attention to detail and accuracy Ability to multitask and manage deadlines Basic travel industry knowledge (preferred)

Education & Experience



Bachelor's degree or equivalent qualification Fresher / 1-3 years of experience in office administration; experience in a travel company is an advantage
