Job Purpose:



To provide administrative and clerical support to ensure efficient operation of the office. The Clerk will assist in daily office tasks, record maintenance, document preparation, and communication handling.

Key Responsibilities:



Office Administration

Maintain and update office records, files, and documents systematically. Handle inward and outward correspondence (letters, emails, circulars, notices). Assist in data entry, documentation, and preparation of official reports. Maintain attendance registers, leave records, and other administrative logs.

Accounts and Record Keeping

Support in maintaining fee records, vouchers, and bills. Prepare and process receipts, payments, and petty cash records. Assist in reconciliation and submission of financial statements as directed.

Communication & Coordination

Handle telephonic, email, and written communication efficiently. Coordinate between departments, staff, and students for administrative matters. Schedule appointments, meetings, and maintain office calendars.

Documentation & Filing

Ensure proper filing (manual and digital) of all institutional records. Maintain confidentiality of sensitive information and files. Assist in preparing letters, circulars, notices, and reports.

Support Functions

Provide assistance during audits, inspections, and meetings. Help in preparation of examination or admission-related documentation. Perform any other duties assigned by the Administrative Officer or Principal.

Qualification & Experience:



Minimum Qualification:

Graduate in any stream.

Desirable:

Diploma/Certificate in Computer Applications.

Typing Skills:

Marathi & English typing (preferred).

Experience:

1-3 years of experience in clerical or administrative work (preferred).

Skills & Competencies:



Proficiency in MS Office (Word, Excel, PowerPoint). Good communication and interpersonal skills. Strong organizational and time-management skills. Accuracy and attention to detail. Ability to maintain confidentiality.
