Role Overview



The Office Assistant will be responsible for ensuring smooth day-to-day administrative and operational functioning of the office. The role involves office maintenance, document handling, coordination with internal teams, and providing administrative support to attorneys and staff.

Key Responsibilities



Office Maintenance & Support

? Ensure the office premises are clean, organised, and well-maintained at all times.

? Assist in setting up and providing back-end support during firm events and internal activities.

Document Handling & Records Management

? Handle photocopying and scanning of documents as required.

? Organise, arrange, and maintain physical files systematically for easy retrieval.

? Manage registration-related work and maintain inward and outward registers accurately. ? Maintain proper records of all inward and outward document entries.

Administrative & Reception Duties



? Manage front desk responsibilities, including greeting visitors, attending phone calls, and handling general inquiries.

? Write and regularly update the matter list on the office whiteboard for reference.

Office Supplies & Equipment Management



? Monitor office supplies inventory and ensure timely replenishment.

? Coordinate with the IT department for laptop-related issues and basic technical support. ? Manage printers, including connecting them to office laptops and ensuring proper functioning.

Coordination & Support



? Coordinate document delivery within and outside the office as required.

? Visit clients for document collection and delivery, attend court as required for filing or follow-ups, and coordinate notarisation of documents.

? Assist attorneys with minor administrative or legal support tasks as instructed.

? Monitor clerk attendance, track their timings, and manage visit purposes as per team members' or partners' instructions.

? Basic administrative and organisational skills

? Attention to detail and accuracy in record-keeping

? Ability to coordinate with multiple teams

? Basic understanding of office equipment and IT coordination

? Professional communication and interpersonal skills

Job Type: Full-time

Pay: ?10,000.00 - ?15,000.00 per month
