Job Summary
We are seeking a proactive and organized
Office Associate
to support day-to-day office operations, administrative coordination, facility management, and front-office activities. The role plays a key part in ensuring smooth internal operations while providing a professional and welcoming experience for students, visitors, and staff.
Key Responsibilities:
1. Administrative & Office Support
Provide daily administrative assistance to management and internal teams
Ensure interdepartmantal coordination for daily requirements.
Maintain and organize office files, records, and documentation
Assist with internal communication, notices, and coordination
Support smooth functioning of overall office operations
2. Logistics, Purchasing & Inventory Management
Handle logistics coordination for office operations, academic activities, and internal requirements
Manage purchasing of office supplies, stationery, pantry items, and operational materials
Coordinate with vendors for quotations, orders, and timely deliveries
Maintain accurate inventory and purchase records
Ensure cost-effective procurement while avoiding shortages or delays
3. Office Cleanliness & Organization
Ensure office premises are clean, organized, and well-maintained
Coordinate with housekeeping staff to maintain hygiene standards
Conduct routine checks of workspaces, common areas, and facilities
Support adherence to cleanliness, safety, and organizational norms
4. Student & Visitor Coordination
Act as the first point of contact for students, parents, and visitors
Handle inquiries professionally and provide accurate information
Maintain visitor registers and support front-office coordination
Create a courteous and professional office environment
5. Facility & Maintenance Coordination
Identify and report facility-related issues (electrical, plumbing, maintenance, etc.)
Coordinate with vendors or internal teams for repairs and maintenance
Track issues and ensure timely follow-up until closure
Minimize disruptions to daily office operations
Required Skills & Competencies
Strong organizational and time-management skills
Good verbal and written communication abilities
Basic computer skills (MS Office, email, data entry)
Attention to detail and problem-solving mindset
Ability to work independently and coordinate with multiple teams
Qualifications
Graduate or Diploma in any discipline
1-3 years of experience in office administration, front office, or operations
Experience in an educational institution or corporate office is an added advantage
Job Types: Full-time, Permanent
Pay: ?15,000.00 - ?17,500.00 per month
Work Location: In person
