Account Office Assistant - Roles and Responsibilities
1. Financial Record Keeping
Maintain accurate records of all financial transactions.
Assist in preparing vouchers, bills, receipts, and invoices.
Ensure timely data entry into accounting systems (Tally/ERP/SAP).
2. Budgeting and Reporting
Support in the preparation of budgets and expenditure statements.
Assist in preparing monthly, quarterly, and annual financial reports.
Track and reconcile budget utilization with actual spending.
3. Accounts Payable and Receivable
Process payments to vendors and suppliers.
Maintain records of invoices, credit notes, and receipts.
Follow up on outstanding payments and ensure timely collections.
4. Bank and Cash Management
Assist in preparing bank reconciliation statements.
Handle petty cash transactions and maintain logs.
Support in daily cash flow management and deposits.
5. Compliance and Documentation
Ensure compliance with financial policies, rules, and regulations.
Maintain and organize financial documents for audits.
Assist during internal and external audits.
6. Coordination and Support
Coordinate with departments for budget and expense clarifications.
Provide administrative and clerical support to the finance department.
Assist the Finance Officer in day-to-day financial operations.
