The Front Office cum Office Assistant provides essential administrative support to ensure the smooth operation of the office. This role involves a variety of tasks including managing communications, maintaining records, and assisting with daily office functions. The ideal candidate will be organized, detail-oriented, and able to handle multiple tasks efficiently.
Key Responsibilities:
Front office management
Administrative Support:
Perform general office duties such as answering phones, responding to emails, and managing correspondence.
Document Management:
Maintain and organize files, records, and documents, both physical and digital, ensuring they are up-to-date and easily accessible.
Scheduling:
Assist in scheduling meetings, appointments, and conference room bookings. Coordinate and manage calendars for team members as needed.
Office Supplies:
Monitor and order office supplies and equipment, ensuring that stock levels are maintained and that all supplies are accounted for.
Data Entry:
Enter and update data into various systems or databases accurately and promptly.
Customer Service:
Greet visitors and clients, providing a professional and welcoming experience. Address inquiries and direct them to the appropriate department or personnel.
Event Coordination:
Assist in organizing and coordinating office events, meetings, and other activities.
Mail Handling:
Sort and distribute incoming mail and prepare outgoing mail and packages.
General Office Maintenance:
Ensure the office environment is tidy and presentable, including common areas and meeting rooms.
Support to Other Staff:
Provide support to other administrative staff and departments as needed.
Qualifications:
Education:
High school diploma or equivalent; some college coursework or vocational training in office administration is preferred.
Experience:
Previous experience in an administrative or office support role is advantageous but not required.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team.
