to support the day-to-day operations of our office and manage inventory and stock levels. This position plays a key role in ensuring that office supplies, equipment, and other resources are well-maintained and available as needed. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
General Office Assistance:
Answer and direct phone calls, emails, and other inquiries.
Greet visitors and ensure they are directed to the appropriate person or department.
Handle filing, photocopying, scanning, and other administrative tasks.
Assist with scheduling meetings, appointments, and events.
Maintain and organize office documents, files, and records in both digital and physical formats.
Inventory and Stock Management:
Monitor and maintain inventory levels of office supplies, equipment, and materials.
Conduct regular inventory audits to ensure accurate stock records.
Place orders for office supplies and ensure timely delivery and receipt of goods.
Track usage of supplies to ensure efficient and cost-effective management.
Organize and store inventory in an orderly manner for easy access and retrieval.
Maintain a database of stock levels, order history, and usage patterns.
Procurement and Supplier Coordination:
Coordinate with vendors and suppliers to obtain quotes and ensure timely deliveries.
Process purchase orders and track deliveries to ensure that orders are fulfilled correctly and on time.
Keep accurate records of procurement activities and supplier interactions.
Handle returns or discrepancies with inventory items as needed.
Support for Office Operations:
Assist with the preparation of office materials for meetings, conferences, and events.
Ensure that office equipment (computers, printers, etc.) is properly maintained and functional.
Handle minor troubleshooting of office equipment and escalate more complex issues to the relevant personnel.
Reporting:
Assist in preparing inventory reports for management review.
Provide updates on stock levels, trends, and any items that may require restocking or replacemen
