The Office Assistant is responsible for providing administrative and clerical support to ensure efficient operation of the office. The ideal candidate is organized, reliable, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
1. Administrative Support:
Maintain and organize office files and documents (physical and digital)
Perform data entry, typing, and document preparation
Handle photocopying, scanning, and printing of documents
Prepare and distribute correspondence, memos, and reports
2. Front Desk Duties:
Greet visitors and direct them to appropriate staff
Handle incoming calls, take messages, or redirect as necessary
Manage incoming and outgoing courier/delivery packages
3. Office Management Support:
Monitor and manage office supplies and place orders as needed
Ensure cleanliness and organization of the office space
Assist in coordinating meetings, appointments, and schedules
Support other staff in daily office operations
4. Filing & Record-Keeping:
Maintain accurate and up-to-date records
Assist in preparing reports and maintaining logs (attendance, expenses, etc.)
Handle confidential information responsibly
5. Coordination Tasks:
Follow up on pending office tasks with internal teams
Qualifications & Skills:
Minimum: Graduate (preferred)
Basic knowledge of MS Office (Excel, Word, Outlook)
Good communication skills in [Insert Local Language + English/Hindi]
Polite, disciplined, and well-organized
Previous office or administrative experience is a plus
