Job Description

The Office Assistant will be responsible for providing essential administrative and clerical support to ensure efficient office operations. This role requires a highly organized individual with significant experience in office documentation, communication, data management, and computer proficiency.

Key Responsibilities:



Manage and organize physical and digital documentation systems, ensuring accuracy and easy retrieval of records. Handle incoming and outgoing mail and correspondence, including sorting, distributing, and preparing shipments. Draft, format, and prepare various office documents, letters, memos, and reports. Maintain accurate and up-to-date databases and spreadsheets using MS Excel and other relevant software. Perform data entry tasks accurately and efficiently. Assist with internal and external communication, including answering phones, responding to emails, and directing inquiries. Maintain office supplies inventory and place orders as needed. Provide general administrative support, including filing, scanning, photocopying, and scheduling (if required). Operate and troubleshoot basic office equipment. Assist with the preparation of presentations or reports using computer software. Maintain confidentiality of sensitive information.

Required Qualifications:



Proven experience of

at least five (5) years

in an office administration or assistant role. Demonstrated expertise in office documentation and record-keeping. Excellent written and verbal office communication skills. High level of computer proficiency ("Computer Savvy"), including extensive experience with: Data Entry Microsoft Excel (creating and managing spreadsheets, using formulas, etc.) Other Microsoft Office Suite applications (Word, Outlook) Strong organizational and time management skills. Ability to work independently and as part of a team. High attention to detail and 1 accuracy.

Desired Qualifications (Optional):



Experience working in a healthcare or educational institute environment. Familiarity with basic accounting or invoicing procedures. Knowledge of office management systems and procedures.
