The Office Assistant will be responsible for ensuring smooth day-to-day operations of the office by managing administrative tasks, facility maintenance, vendor coordination, employee support, and document management. This role requires strong organizational skills, multitasking ability, and proactive problem-solving to support management, employees, and external stakeholders.
Key Responsibilities
1. Administrative & Office Operations
Manage petty cash, reimbursements, stationery, housekeeping supplies, and general office items.
Handle printing and scanning of invoices, agreements, ID cards, visiting cards, letterheads, and envelopes.
Maintain courier operations, including inward/outward dispatch and tracking.
Coordinate conference room bookings, travel arrangements, and Work-From-Home (WFH) list updates.
Support day-to-day office assistance tasks and allocate work as needed.
2. Finance & Banking Support
Collect and deposit cheques and cash.
Submit documents to banks and handle bank-related tasks as required.
Submit company credit card invoices and follow up on electricity and maintenance bills.
Assist with loan-related supporting documents.
3. Facility & Equipment Management
Manage UPS, CCTV, AC, printers, laptops, and other hardware repairs/maintenance.
Oversee building issues such as plumbing, electrical, and general repairs.
Arrange drinking water supply and maintain office utilities.
Manage vendor coordination for procurement, service, and repairs.
4. Employee System & Hardware Support
Coordinate courier dispatch of systems for employees.
Collect laptops/systems from exit employees.
Arrange hardware requirements for current employees.
Provide remote support for WFH employees.
5. Flat & Property Maintenance (Golfedge)
Handle maintenance, repairs, cleaning, and invoice management for assigned flats.
Coordinate with Golfedge Phoenix team for flat-related issues.
Interact with tenants and agents regarding rentals and property matters.
6. Personal Assistance Support (As Assigned)
Assist senior management (Sabitha Ma'am and Satya Sir) with personal tasks such as bank-related work, documents, and errands.
Arrange vehicle servicing for company-assigned cars (BMW/Benz).
7. Event & Special Task Coordination
Handle arrangements for pooja events and other office events.
Prepare, notarize, or arrange bond agreements and Franklin/Notary tasks.
Execute any additional work assigned based on organizational needs.
Skills & Qualifications
Proven experience as an Office Assistant, Admin Executive, or similar role.
Good knowledge of MS Office, basic email writing and reading skills;
Ability to multitask, prioritize, and work under minimal supervision.
Valid two-wheeler license along with own vehicle
Work Environment
Office-based role with occasional travel for bank work, courier tasks, or facility visits.
Requires flexibility for tasks assigned by management based on priority.
