We are looking for a detail-oriented and proactive
Office Assistant
to support our daily academic and operational functions within a fast-paced
EdTech
environment. This role is vital to ensuring seamless coordination between teams, accurate data handling, and efficient support for both learners and faculty. You will play a key role in keeping our digital learning operations organized, compliant, and optimized for performance.
Key Responsibilities
1. Administrative & Operational Support
Oversee daily office and academic operations to ensure smooth functioning across virtual and on-site learning environments.
Organize and maintain student records, course files, and digital documentation using cloud-based systems.
Assist with academic support tasks such as scheduling sessions, uploading content, printing/scanning (if needed), and distributing learning materials.
Facilitate logistics for assessments, including setup for online exams, coordination of invigilators, and handling exam-related documentation.
Support onboarding and enrollment processes by collecting learner documents and maintaining accurate admission records in the system.
2. Data Handling & Reporting
Generate and maintain reports on core operational and academic metrics such as learner engagement, course completion rates, Net Promoter Score (NPS), and support ticket resolution times.
Track and monitor key performance indicators (KPIs) across student success and platform usage, highlighting trends and anomalies.
Collaborate with cross-functional teams (product, content, academic delivery) to support dashboard creation and ensure data pipelines are accurate and up to date.
3. Process Optimization & Compliance
Identify gaps and inefficiencies in administrative workflows and recommend digital-first improvements aligned with EdTech best practices.
Contribute to the documentation and maintenance of Standard Operating Procedures (SOPs) for academic and operational tasks.
Support implementation of automation tools (e.g., CRM, LMS integrations, workflow apps) to improve productivity and reduce manual work.
Ensure all tasks adhere to internal compliance standards and data privacy regulations relevant to educational institutions.
Required Skills & Qualifications
Strong organizational and multitasking abilities; able to manage digital and physical operations seamlessly.
High attention to detail with a structured approach to record-keeping and task execution.
Proficiency in productivity tools such as Microsoft Excel, Google Workspace, and basic familiarity with CRM/LMS platforms (e.g., Salesforce, Moodle, Canvas).
Ability to work with data, generate insights, and communicate findings effectively to non-technical teams.
Strong communication skills in English and local languages; able to liaise effectively with students, faculty, and tech teams.
Adaptable, tech-savvy, and comfortable working in a dynamic, growth-focused EdTech environment.
