We are looking for a proactive and detail-oriented
Office Assistant
to support our fast-paced
IT services team
. This role involves managing incoming service calls, coordinating technical support appointments, and handling various administrative tasks to keep office operations running smoothly. The ideal candidate will be organized, tech-savvy, and customer-focused.
Key Responsibilities:Service Desk Coordination:
Serve as the first point of contact for client service requests via phone, email, or ticketing system.
Log and categorize issues in the IT service management (ITSM) system.
Assign tickets to appropriate technicians based on urgency and specialization.
Follow up with clients to confirm issue resolution and collect feedback.
Administrative Support:
Perform general office tasks such as data entry, document filing, report preparation, and equipment tracking.
Maintain organized records of service requests, invoices, and client communications.
Order and manage office and IT supplies as needed.
Assist with scheduling meetings, coordinating calendars, and preparing documents for internal use.
Customer Service & Communication:
Provide friendly and professional support to clients and vendors.
Keep clients informed of service status and estimated resolution times.
Escalate urgent or unresolved issues to the appropriate personnel.
Requirements:
High school diploma or equivalent (Associate's degree in business or IT-related field preferred).
Previous experience in an office or customer service role (experience in an IT or tech environment is a plus).
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite and familiarity with service desk software (e.g., Zendesk, Freshdesk, ConnectWise).
Excellent organizational and multitasking abilities.
Basic understanding of IT terminology and common technical issues.
