Job Summary

:
The Office Assistant provides administrative support to the team and ensures daily office activities are organized and efficient. This role involves a variety of tasks such as managing correspondence, maintaining office supplies, assisting with scheduling, and supporting other administrative functions.

Key Responsibilities

:

Administrative Support

: Assist in managing daily office operations and handle general administrative tasks such as filing, organizing paperwork, and maintaining record, maintain employee leave records.

Communication

: Answer and direct phone calls, emails, and other forms of communication / Client complaints. Serve as a point of contact for staff, clients, and visitors.

Scheduling and Calendar Management

: Help schedule meetings, appointments, and travel arrangements for executives or team members.

Office Supplies Management

: Maintain inventory and order office supplies as needed, ensuring the office is always stocked with necessary materials.

Data Entry

: Input data into spreadsheets, databases, and other systems. Ensure data accuracy and confidentiality.

Document Preparation

: Draft, proofread, and prepare various documents, including reports, memos, and presentations. Maintain an employee master. Prepare Salary

pay roll.

Clerical Support

: Perform clerical duties such as photocopying, faxing, and filing.

Team Collaboration

: Assist team members with various tasks and projects as needed.

Maintain Office Organization

: Ensure the office is clean, organized, and conducive to productivity.

Qualifications

:

High school diploma or equivalent (Associate's or Bachelor's degree preferred)

Prior experience in an office environment or administrative role is a plus

Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)

Strong organizational and multitasking skills

Excellent verbal and written communication skills

Ability to maintain confidentiality

Attention to detail and accuracy

Positive attitude and professional demeanour

Work Environment

:

Typically works in an office setting

May involve interacting with various departments, clients, and visitors

Job Type: Full-time

Pay: Up to ?15,000.00 per month
