About the Role


Gautam Shewa Architects is looking for a reliable, well-organized, and proactive Office Administrator cum Receptionist to manage daily office administration and front-desk operations at our Head Office.

This role is critical to ensuring smooth office functioning, efficient coordination with vendors and staff, and professional handling of visitors and communications.

Key Responsibilities



Front Desk & Office Administration:



Manage the reception and front desk, including handling visitors, calls, emails, and couriers

Maintain a professional and welcoming office environment

Coordinate daily office operations and administrative workflows


Travel & Executive Support:



Handle travel bookings, hotel arrangements, and logistics for the Principal Architect Track travel schedules and coordinate changes efficiently

Accounts & Expense Coordination:



Assist with basic accounting tasks, including:
o Comparing bills and invoices
o Expense tracking and record maintenance
o Supporting external accountants as required

Procurement & Vendor Coordination:



Coordinate procurement of office and project-related materials Prior experience in architecture/interior/construction procurement will be an added advantage Maintain vendor records & follow up on quotations, deliveries, & payments

Maintenance & Facility Management:



Coordinate maintenance and servicing of:
o AC units
o Printers and office equipment
o Laptops and IT-related issues

Liaise with technicians and service providers to ensure timely resolution

Coordination & Follow-ups:



Strong follow-up with:


oVendors and suppliers
o Site supervisors and consultants
o Internal staff and team members

Ensure tasks are closed efficiently and on time

Candidate Requirements:



Fluent in English (spoken and written)
Strong organizational and multitasking skills
Hard-working, responsible, and trustworthy
Comfortable handling confidential and sensitive information
Good communication and coordination abilities
Prior experience in architecture, interior design, construction, or allied industries preferred
Basic computer proficiency (email, MS Office, billing records, etc.)
