The Office Administrator ensures smooth day-to-day functioning of office operations, documentation, communication, and staff support. The role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced technology-driven environment, especially relevant to companies working in healthcare, robotics, and medical devices.
Key Responsibilities
1. Office Operations & Administration
Manage daily office activities and maintain supplies, equipment, and inventories
Handle phone calls, emails, courier services, and general communications
Maintain clean, organized workspace and coordinate with vendors for office services
Support meeting setup, scheduling, and travel arrangements
2. Documentation & Record Management
Prepare and maintain documents, letters, presentations, and reports
Organize digital and physical filing systems
Maintain employee, project, and regulatory documentation securely (important in medical device environments)
3. Support for Management & Teams
Assist leadership with scheduling, meeting minutes, and administrative tasks
Coordinate cross-team communication
Support HR in onboarding, attendance tracking, and leave management when required
4. Finance & Procurement Support
Assist in basic bookkeeping, invoice verification, and expense tracking
Coordinate purchases, vendor quotations, and inventory updates
Maintain records required for compliance and audits
5. Visitor & Customer Coordination
Welcome guests, clients, and partners professionally
Handle basic customer inquiries and direct them appropriately
Schedule meetings with consultants, vendors, radiologists, or regulatory personnel
A candidate with any of the following degrees is suitable:
B.Com / BA / B.Sc /B Tech
Additional certifications in office administration, accounting, or computer skills are a plus.*
