Position Overview
We are seeking a detail-oriented and proactive Office Administrator with experience in hospital or healthcare administration to oversee daily office operations and support the smooth functioning of hospital management activities. The ideal candidate will handle administrative tasks, patient coordination, staff support, and compliance with healthcare standards, ensuring efficient operations and excellent patient care services.
Key Responsibilities
Administrative & Office Management
Manage front-office operations, including reception, scheduling, correspondence, and documentation.
Maintain administrative records such as staff attendance, rosters, and leave management.
Supervise office supplies, procurement, and vendor coordination.
Support hospital leadership in preparing reports, presentations, and communication materials.
Hospital Operations Support
Assist in coordinating daily hospital workflows between clinical and non-clinical staff.
Ensure compliance with hospital policies, healthcare regulations, and accreditation standards.
Support patient admission, discharge, and billing processes in coordination with medical and accounts teams.
Monitor and manage medical and non-medical inventory in collaboration with the procurement team.
Staff & Patient Coordination
Act as a point of contact between hospital departments, doctors, nursing staff, and patients.
Handle patient queries, complaints, and ensure resolution in a professional manner.
Coordinate staff training programs, workshops, and performance review support.
Compliance & Quality Management
Maintain patient records and ensure data confidentiality under applicable healthcare laws.
Support audits, quality checks, and hospital accreditation preparations.
Ensure fire safety, hygiene, and workplace safety procedures are followed.
Qualifications & Skills
Education: Bachelor's degree in Hospital Administration, Business Administration, or related field. A master's degree in Hospital/Healthcare Management is preferred.
Experience: 2-5 years of experience in office administration, hospital administration, or healthcare operations.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Knowledge of healthcare regulations, hospital workflows, and patient management systems.
Proficiency in MS Office and hospital management software.
