An Office Administrator manages daily office operations, ensuring smooth workflow through tasks like managing supplies, scheduling meetings, handling correspondence (calls, emails, mail), maintaining records, greeting visitors, and providing support for finance (invoicing) or HR, acting as a central point of contact and ensuring efficient use of resources. Key duties involve clerical support, managing facilities, coordinating events, and maintaining systems, requiring strong organizational, communication, and multitasking skills, along with proficiency in MS Office.
Key Responsibilities:
Office Operations: Oversee daily activities, manage supplies, maintain clean/organized space, coordinate equipment maintenance.
Administrative Support: Handle phone calls, emails, mail, prepare documents, manage filing systems, update databases.
Scheduling & Logistics: Book meetings, manage conference rooms, arrange travel, coordinate events.
Visitor & Staff Liaison: Greet visitors, direct inquiries, serve as a central point for internal requests.
Financial Support: Process invoices, track budgets, assist with basic bookkeeping.
Record Keeping: Maintain general office files, company records, and databases.
Essential Skills & Qualifications:
Skills: Excellent communication, organization, time management, attention to detail, multitasking.
Technical Skills: Proficient in MS Office Suite (Word, Excel, Outlook).
Education: High school diploma or equivalent; sometimes a degree in business/admin.
Experience: Previous office administration or related experience.
