The Office Administrator will be responsible for ensuring smooth day-to-day office operations, accurate documentation, effective coordination between internal teams and external stakeholders, and disciplined administrative control across real estate and redevelopment projects. The role is critical in supporting management, maintaining compliance, and enabling operational efficiency.
Oversee daily office functioning including utilities, internet, housekeeping, stationery, and office upkeep
Ensure uninterrupted office operations with zero disruption due to administrative lapses
Maintain office readiness for meetings with clients, societies, consultants, and vendors
2. Documentation & Record Management
Maintain and organize all project-related documents including agreements, approvals, correspondence, drawings, and records
Ensure proper filing (physical and digital) and quick retrieval of documents
Track renewal and validity of statutory, legal, and project-related documents
Support management with timely preparation and circulation of documents and reports
3. Coordination & Communication
Act as the central coordination point between management, site teams, consultants, legal teams, and vendors
Schedule meetings, prepare agendas, record Minutes of Meetings (MOM), and ensure timely follow-ups
Ensure smooth internal communication and escalation of issues where required
4. Vendor & Facility Management
Coordinate with vendors such as housekeeping, IT, maintenance, printing, and service providers
Track vendor performance, service schedules, and AMCs
Ensure timely processing of vendor bills and payments in coordination with accounts
Monitor costs to ensure adherence to approved budgets
5. Compliance & Process Discipline
Maintain compliance calendars for statutory filings, licenses, and internal approvals
Ensure deadlines related to real estate and redevelopment projects are met
Assist in audits and ensure process adherence across administrative functions
6. Management & Team Support
Provide administrative support to Directors, Project Heads, and senior team members
Handle travel coordination, meeting logistics, and reporting support
Proactively identify operational gaps and suggest process improvements

Maintain confidentiality of sensitive project, financial, and legal information
Uphold professional conduct in dealings with clients, societies, and external stakeholders
Ensure discipline, punctuality, and adherence to company policies

Qualifications & Experience

is an advantage
Proficiency in MS Office (Word, Excel, Outlook); basic ERP/CRM knowledge preferred
